Job Description

Duties & Responsibilities:

Onboarding

  • Sourcing of candidates thru different job portals to find suitable candidates for job vacancies
  • Tracking applicants and applications and reviewing resumes.
  • Conduct initial interview, and endorse to the Hiring Partner once they passed the initial interview
  • Draft Job Description of all job vacancies
  • Draaft Job Offer Letter and discuss Job Offer with the applicant
  • Draft the Employment Contract of the applicant once the JO is accepted
  • New Hire Orientation (including EMS and Thread Orientation)

Compensation & Benefits

  • Prepare and submit the PhilHealth ER2 of all new hires (Employer Report)
  • Report and submit all new hires to SSS (Employer Report)
  • Report and process HDMF transfer of record details of all new hires for centralization of employee information
  • Process and apply for the TIN Number of the new hire (if necessary)
  • Review, encode, and monitor all REA submitted by the lawyers
  • In-charge of Support & Professional Staff Timekeeping
  • Advise Finance & Accounting Manager on the salary of all new hires
  • Monitor all tardiness, and habitual tardiness of all support staff
  • Prepare and submit Payroll Instructions to Finance & Accounting Manager at every cut-off
  • Prepare yearly SL Health Bonus report
  • Conduct timely evaluation for regularization of all probationary staff
  • Monitor all employment anniversaries of Legal Staff for their Guaranteed Bonus
  • Draft COE requests of all employees
  • Update the Personnel Action Form (PAF) of the employee when necessary
  • Prepare and draft PAF for 201 files and documentation
  • Ensuring meticulous implementation of the timekeeping and benefits administration

Performance Management

  • Process and release Performance Evaluation (PE) forms (Annual)
  • Collate and tabulate the PE results
  • Communicating with staff about issues affecting their performance
  • Prepare and file summarized results for the Partners' discussion
  • Update the Personnel Action Form (PAF) of the employee when necessary
  • Prepare and draft PAF for 201 files and documentation
  • Communicating with staff about issues affecting their performance
  • Summarize evaluation forms of probationary staff and endorse to Partners

Employee Relations & Events

  • Plan the Firm's yearly activities (i.e., Testimonial Dinner, Christmas Party, Kids Party)
  • Prepare a budget for each activity or event.
  • Draft and email new hire announcements
  • Send out memos and office advisories to employees
  • Attend to employee requests and concerns
  • Ensuring that all employees are organized and satisfied in their work environment
  • Implementing systematic staff development procedures

Policies & Corp Governance

  • Review and ensure updated Employee Manual
  • Providing counseling on policies and procedures
  • Draft Office Policies and Memorandum when necessary
  • Prepare and send out Notice to Explain (NTE) memo when necessary
  • Discuss NTE with the erring employee
  • Review the explanation of the erring employee, provide inputs and recommendations
  • Draft and discuss the Notice of Decision (NOD) with the erring employee once a decision from the Partners have been made
  • Propose and draft Office Policies deemed necessary and beneficial for the Firm

AD HOC - Perform other HR work-related duties as assigned or as the need arises.

Minimum Qualifications

  • Graduate of Psychology or Human Resources Management or equivalent
  • With 3 - 5 years of experience in human resources/administrative
  • Knowledgeable in general HR functions; research methodology; organizational structure and organizational assessment.
  • Computer Literate; Above average oral and written communication skills; Presentation skill.
  • Ability to maintain confidentiality at all times
  • Ability to work independently (minimum supervision)
  • Ability to read, interpret and analyze training needs and organizational diagnosis results
  • Ability to perform multi-tasking
  • Has Initiative
  • Self-motivated
  • Committed to work for HR
  • With strong personality
