Job Description

The ideal candidate will provide top-level assistance for high-level executives. They should be well-organized and comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

Responsibilities

  • Calendar management for executives
  • Aid executive in preparing for meetings
  • Responding to emails and document requests on behalf of executives
  • Draft slides, meeting notes, and documents for executives
  • Provides high-level executive and administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, memos, letters, and minutes.
  • Maintains the appointment schedule by planning, scheduling meetings and event calendars, and organizing all projects, conferences, and travel arrangements.
  • Maintains records management and is in charge of safeguarding all confidential matters and documents.
  • Performs regular administrative and management activities of the company such as receiving visitors, answering phone calls, recording incoming and outgoing correspondence and delivering to appropriate addresses, ordering supplies, and liquidating.
  • Performs other duties and responsibilities as may be assigned from time to time

Minimum Qualifications

  • Must be a college graduate
  • Must have 3-5 years of work experience as an Executive Secretary, any related work experience
  • Proficient in Microsoft Office Suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with excellent follow-up skills
  • Strong written and verbal communication skills
  • Willing to work onsite in Quezon City from Mondays to Fridays
  • Can comply with company pre-employment requirements
