Records and Documentation Operations (RDO) Support

	<li>Assists in recording, maintaining, and updating all participants’ records/profiles in student databases and stockrooms.</li>
	<li>Processes requests for records and other information-related inquiries from participants according to CCE procedures, standards, and deadlines.

		<li>Initiates correspondences/memos and forms pertaining to processing of documents (e.g., diplomas, grade certificates and certificate of completion).</li>
	</ul>
	</li>
	<li>Assists in coordinating the schedule of document release with internal and external stakeholders (e.g., Sales Executives, Training Officers, participants and client HR coordinators).

Administrative Support

Training Operations and Records Assistant

Summary of Work Activities and Responsibilities

Under the supervision of the Training Services Group Head, the Training Officer manages the Public and In-House accounts, courses, certifications and diploma programs of the Center; provides direct, close-in support to Resource Persons before and during the actual training conduct.

Main Duties and Responsibilities

I. Training Management Role 

<ul>
	<li>Serves as Training Officer carrying out training cycle tasks (pre, during, post) such as but not limited to the following:</li>
	<li>Pre-Training
	<ul>
		<li>Coordinates with Program Sales and Marketing Group and Program Development Group for pre-training requirements for each Public and In-House accounts, courses, certifications and diploma programs, i.e. participants profile, venue, reports, etc. </li>
		<li>Coordinates and assists the Resource Persons and In-House partners on the requirements of the course, certification and program, i.e. Canvas requirements, materials, quizzes/exam, preparations, room and equipment set-up, supplies requests, etc. </li>
		<li>Prepares attendance and program orientation slides, IDs, attendance and evaluation link/QR code, cash advance, etc. needed for Public and In-House accounts, courses, certification and diploma programs. </li>
	</ul>
	</li>
	<li>During-Training
	<ul>
		<li>Set up registration area, assists in class venue preparations on the logistical requirements of the course. </li>
		<li>Monitors participants’ attendance and engagement by providing support to both resource person and participants. </li>
		<li>Manage communication and course requirements to and from participants, In-House partners and Resource Persons. </li>
		<li>Takes class pictures and coordinates with Training team for picture layout, developing and delivery. </li>
		<li>Consolidate submissions of participants and send them to the Resource Person for grading. </li>
		<li>Encode/Set-up course, certification exam questions and answers on Canvas and serves as proctor/support during examinations in Zoom. </li>
		<li>Secures equipment and supplies used after each Public and In-House accounts, courses, certifications and diploma programs.</li>
	</ul>
	</li>
	<li>Post-Training
	<ul>
		<li>Monitors status of post-program evaluation, submission for grading of Resource Person and updates the Records Officer once grades are received. </li>
		<li>Prepares course evaluation summary, actual expense report and summary report required by the In-House partners (as needed).</li>
		<li>Arrange and organize graduation ceremonies and documentations. </li>
		<li>Check the accuracy and issuance of documentations according to the timeline and standards of the Center.</li>
	</ul>

II. Training Operations and Records Documentation Support

<ul>
	<li>Supervises the ordering of Training supplies (consumables, monthly and annual) requirements for the courses, equipment inventory and catering food orders. </li>
	<li>Creates Training Zoom details for all online synchronous sessions. </li>
	<li>Oversee the Training Records Officer, Records and Operations Assistants on behalf of the Training Group Head (if needed). </li>
</ul>

III. Leadership and Administrative Role

<ul>
	<li>Supervise Junior Training Associates in the completion of the pre, during and post training requirements. </li>
	<li>Monitors the department’s internal monitoring sheet and on the submission of post course requirements (e.g., actuals, summary report, materials). </li>
	<li>Suggest and implement improvements and innovation that would positively impact the department and the Center. </li>
	<li>Attends and participates in internal/external meetings on behalf of the Training Group Head (if needed). </li>
</ul>
