IT Security Officer | Identity and Access Management

Summary of Work Activities and Responsibilities: 
 
Under the supervision of the Assistant to the Associate Dean for Administrative and Student Services, the Administrative Assistant VI provides secretarial, administrative, and financial support in the day-to-day operations of the Office.

I. Secretarial and Administrative Support

Attends to inquiries and requests from stakeholders and visitors from various communication channels (e.g. face to face, online, phone, office email) and coordinates the flow of information internally and with other offices concerned

Receives and records Office correspondences and communication materials and carries out appropriate actions

Handles coordination and logistical support requirements for meetings, events, and activities

Contributes to efforts in communicating and promoting to various stakeholders vital and up-to-date information, reports, and initiatives pertaining to University strategies, rankings, and accreditations

Serves as a repository of all communication materials of the Office of the Associate Dean for Administrative and Student Services

Collates data and prepares reports pertaining to staff formation, health &amp; wellness, etc. and submits to the Assistant to the Associate Dean for Administrative and Student Services for review and endorsement

Coordinates with the Office of Mission and Identity to update and/or submit reports on MI-related programs

Coordinates with the University Physician’s Office and/or Higher Education Clinic on protocols related to employees and students’ health and wellness

Coordinates with Campus Security and Mobility Office on campus security and safety protocols

Coordinates with Graduate School of Business sub-offices, Finance and Treasurer/Central Accounting Office and Central Purchasing Office on inventory and/or disposal of office equipment and furniture

II. Financial Management Support

Keeps financial records and expense accounts of the Office to ensure that all financial documents are properly accounted for

Works closely with the Assistant to the Associate Dean in preparing the budget proposal of the Graduate School of Business, and provides information in drafting budget reports (e.g. supplies and expenses, new equipment, minor and major improvement, etc.)

Prepares and processes all financial-related documents (e.g. order for checks, reimbursements, liquidation reports, petty cash vouchers, etc.) for approval by the ADASS and submission to the Central Accounting Office

Assists in monitoring collection activities of Graduate School of Business

III. Records Management Support

Updates office database and maintains files and records of correspondences, documents, and other materials for the Office in a systematic manner and consistent with the need to protect confidentiality and data privacy

Maintains pertinent files and records and facilitates disposal of old files and records according to University guidelines

IV. Human Resource Matters Support

Facilitates the routing and submission of HR-related documents to Office of Human Resource Management and Organization Development (e.g. hiring justifications, Terms of References, etc.) and conducts follows throughs as needed

Provides support in filling in of vacancies in the School through:

Provides administrative support in the implementation of the developmental plans for employees under the Graduate School of Business

V. Performs other office-related tasks as may be assigned by immediate supervisor or authorized representative.

Office Assistant for Administrative and Student Services

Summary of Work Activities and Responsibilities:

Under the supervision of the Assistant to the VP for DITS / IT Governance Head, the Administrative Assistant shall perform clerical and office management tasks in accordance with the OVP DITS mandate and guidelines and University policies and processes such as internal and external communications, finance management, logistical administration and assistance in personnel management.

Main Duties and Responsibilities

Communication 

The Administrative Assistant shall be the main point person for internal and external communications of the office, specifically:

	<li>As the first point of contact for the OVP DITS, handles inquiries received through the various communication channels including the dedicated local / mobile numbers and DITS office email.</li>
	<li>As the official custodian of the OVP DITS email account, sends out BlueBoard announcements and other official communications, maintains the filing system of the assigned Google Drive</li>
	<li>Prepares drafts of correspondence</li>
	<li>Disseminates information such as internal memos, office guidelines and event reminders</li>
	<li>Maintains the DITS Cluster page in the University Website</li>
</ul>

Finance Management Support

Assists in the processing, monitoring and reporting of office-related budget and expenses:

<ul>
	<li>Prepares year-end utilization report as reference for budget planning</li>
	<li>Initiates the payment processing by preparing Purchase Requisition (PR) or Request for Payment for supplies, communication, repairs and maintenance, CapEx items, miscellaneous expenses, staff development and others.</li>
	<li>Regularly updates the expense trackers</li>
	<li>Handles the petty cash of the office from request, routing for approval, utilization and liquidation</li>
	<li>Prepares other financial reports and summaries, as needed</li>
</ul>

Office Operations and Clerical Support

As overall coordinator for office operations, provides administrative support for office management functions, specifically:

<ul>
	<li>Prepares logistical requirements for meetings, staff development and other activities of the office and cluster</li>
	<li>Manages office supplies and equipment by maintaining the inventory, filing of requests for office equipment for repair or replacement, initiates job orders for tasks which requires the assistance of CFMO</li>
	<li>Assists in personnel management such as attendance monitoring, tracking of staff development activities and training</li>
	<li>Receives and routes documents for approval and signature of authorized personnel</li>
	<li>Manages the DITS Office and Cluster calendar</li>
	<li>Coordinates with other departments as required</li>
</ul>

Other tasks

	<li>May be assigned to coordinate special projects</li>
	<li>May represent the office or cluster in committees for University-wide activities.</li>
</ul>

Performs any other duties as may be required by the position in accordance with the instructions and guidelines of the supervisor and authorized personnel.

Administrative Assistant for Digital Information and Technology Services Office

Under the supervision of the Associate Dean for Administrative and Student Services, he/she supports the associate dean in managing the day-to-day administrative requirements of the school by ensuring that set standards are implemented properly; and coordinating the service requirements of Graduate School of Business with the Central Administration Support Units

Main Duties and Responsibilities

I. Administrative support

Formulates, recommends, and implements guidelines pertaining to administrative processes (e.g., standard office procedures, alignment with university processes, etc.)

Liaises with students, faculty, partners, and other Professional Schools and other University units in relation to the delivery of administrative services within the school

Manages the associate dean's schedule and requests for appointments.

Attends to the correspondences, reports, and records of the office

II. School Budget and Funds

Prepares and monitors office budget and assists the associate dean in consolidating the budget, which includes those in the satellite campuses

Coordinates with the Academic Affairs, Director for Student Affairs and Formation and the Student Council for budget and support service requirements for student-driven initiatives (e.g., orientation seminar, annual student leaders strategic planning conference, placement activities, etc.)

Coordinates with the Office of the Vice President for the Professional Schools and/or the Office of the Vice President of Finance and Treasurer on the materials for the quarterly reports and mid-year review of operations.

Coordinates with the Office of the Dean for the mid-year review presentations

Monitors the utilization of the Restricted funds and Professorial Chairs and coordinates with the Office of the Vice President of Finance and Treasurer or Office of the President for requests to use such funds

III. Human resource matters

Coordinates policies, guidelines, protocols, faculty engagements to ensure alignment of processes and compliance to University standards

Coordinates hiring processes and facilitates the preparation of hiring documents and requirement

Collaborates with the Academic Affairs on faculty initial ranking, permanency, and promotion requirements

Uploads vacancies to online portals and conducts initial screening and interviews of applicants

Prepares faculty contracts and drafts memos for renewal of administrative appointments, including salaries

Works with the Office of the Dean in organizing and overseeing events and activities such as the annual staff conference, training/workshops for non-teaching staff, etc.

IV. Facilities and Information Technology Matters

Coordinates with the Office of the Vice President for Digital and Information Technology Services for it requirements

Coordinates with the Central Facilities Management Office for maintenance, repairs, and other facilities requirements and monitors the status and completion of requests

Assists in planning layouts of spaces, replacement of furniture, and in the general upkeep of offices

V. Management of Special Projects and Events

Keeps track of projects and initiatives of the office, such as but not limited to, Open House, Marketing Fora, online infrastructure training for classes, etc

Provides administrative and logistical support for student formation activities and other student-driven initiatives

VI. Performs any other tasks as may be assigned by the immediate supervisor and authorized representatives
