Quezon City is a vast and teeming city with a steadily increasing income and occupation of one-third of Metro Manila’s total land area. Quezon City Local Government

The Quezon City Polytechnic was created on March 1, 1994 by virtue of the City Council Ordinance No. SP-171 an institution to primarily undertake the training and development of qualified technicians and skilled workers.

The Three-Year Technician Curriculum was introduced in the SY 1994-1995 designed to develop highly competent technicians for industry in the areas of Automotive Technology, Electrical Technology, Welding Technology, Refrigeration and Air-Conditioning Technology, and Fashion Technology. In 2001, Ordinance SP – 1030 created a charter for the establishment of Quezon City Polytechnic University. QCPU started its operation by offering one (1) year programs and short term courses. By the year 2005, QCPU started offering college degree courses. Right now, QCPU prides itself in providing employment to its graduates and serves as a tool for national development, particularly in Quezon City.

Under the leadership of Mayor Feliciano Belmonte, Jr., starting SY 2005, meaningful access to higher education is now possible with a ladderized concept of pursuing higher education. The idea is that every person should have the opportunity for education and training commensurate to his abilities.

Summary of Work Activities and Responsibilities: 

The Program Officer for Formation II is part of a self-managed team (SMT) and reports directly to the Executive Director.

S/he collaborates closely with his/her teammates for his/her tasks, and consults with PO for Program Support to ensure proper development and efficient implementation of the program for their assigned year level.

 

Main Duties and Responsibilities:

I. Program Management

II. Administrative and Team/Office Support

	<li>Collaborates with teammates in the performing the administrative functions and other team maintenance tasks such as the following:

		<li>Formulates quality and efficient cluster activities, systems, and processes. </li>
		<li>Acts as documenter or presider/facilitator during SMT meetings</li>
		<li>Acts as documenter or logistical support during the conduct of trainings or workshops</li>
		<li>Gives critical and reliable inputs about the participants whenever necessary (e.g. during their final acceptance deliberations, donor-donee matching, special concerns meetings)</li>
		<li>Submits timely progress reports, program updates, and other relevant documentation to properly transition their batch to another SMT.</li>
		<li>Facilitates information dissemination to the participants</li>
		<li>Prepares budget requests and liquidation reports </li>
	</ul>

	<li>Provides critical but constructive inputs during team member’s performance appraisal/review conduct.</li>
	<li>Performs functions as defined by their committee involvement (e.g. Pa-Care, VolMan, GA, Paskuhan, PDE, Finance, etc.)</li>
	<li>Assists other SMT’s in the implementation of their events and interventions </li>
	<li>Acts as support during team events like Education Partner’s Luncheon, Coordinators’ Conventions, Thanksgiving lunches and dinners, other assemblies, planning and evaluation sessions, and multi-stakeholder gatherings.</li>

Program Officer for Formation | Pathways for Higher Education

Summary of Work Activities and Responsibilities:

Under the supervision of the Assistant to the VP for DITS / IT Governance Head, the Administrative Assistant shall perform clerical and office management tasks in accordance with the OVP DITS mandate and guidelines and University policies and processes such as internal and external communications, finance management, logistical administration and assistance in personnel management.

Main Duties and Responsibilities

Communication 

The Administrative Assistant shall be the main point person for internal and external communications of the office, specifically:

	<li>As the first point of contact for the OVP DITS, handles inquiries received through the various communication channels including the dedicated local / mobile numbers and DITS office email.</li>
	<li>As the official custodian of the OVP DITS email account, sends out BlueBoard announcements and other official communications, maintains the filing system of the assigned Google Drive</li>
	<li>Prepares drafts of correspondence</li>
	<li>Disseminates information such as internal memos, office guidelines and event reminders</li>
	<li>Maintains the DITS Cluster page in the University Website</li>
</ul>

Finance Management Support

Assists in the processing, monitoring and reporting of office-related budget and expenses:

<ul>
	<li>Prepares year-end utilization report as reference for budget planning</li>
	<li>Initiates the payment processing by preparing Purchase Requisition (PR) or Request for Payment for supplies, communication, repairs and maintenance, CapEx items, miscellaneous expenses, staff development and others.</li>
	<li>Regularly updates the expense trackers</li>
	<li>Handles the petty cash of the office from request, routing for approval, utilization and liquidation</li>
	<li>Prepares other financial reports and summaries, as needed</li>
</ul>

Office Operations and Clerical Support

As overall coordinator for office operations, provides administrative support for office management functions, specifically:

<ul>
	<li>Prepares logistical requirements for meetings, staff development and other activities of the office and cluster</li>
	<li>Manages office supplies and equipment by maintaining the inventory, filing of requests for office equipment for repair or replacement, initiates job orders for tasks which requires the assistance of CFMO</li>
	<li>Assists in personnel management such as attendance monitoring, tracking of staff development activities and training</li>
	<li>Receives and routes documents for approval and signature of authorized personnel</li>

Administrative Assistant for Digital Information and Technology Services Office

Summary of Work Activities and Responsibilities: 

Under the supervision of the Assistant to the Associate Dean for Graduate Programs, the Graduate Admissions Supervisor ensures the effective implementation of the admissions process for graduate students.

 

Main Duties and Responsibilities:

 

I. Team Supervision

<ul>
	<li>Plans and prepares employee work schedules and assignments, rotation program, and scope of work.</li>
	<li>Monitors performance of Admissions Team and guides them throughout implementation of work processes, ensuring that proper standards are met.</li>
	<li>Evaluates performance of Admissions Team and recommends corresponding personnel actions, such as promotion, transfer, and dismissal.</li>
	<li>Provides performance feedback and coaches Admissions Team in resolving performance concerns and providing development opportunities.</li>
</ul>

 

II. Graduate Student Admissions 

<ul>
	<li>Oversees the Graduate Programs’ admissions process.
	<ul>
		<li>In consultation with the Assistant to the Associate Dean, identifies the appropriate process flow and timelines related to the release, acceptance and processing of applications, and ensures that these are met.</li>
		<li>Reviews admissions process, recommends, and implements improvements to increase efficiency.</li>
	</ul>
	</li>
	<li>Carries out the operational requirements of the admissions process, in close coordination with various offices.
	<ul>
		<li>Guides applicants through the admissions process and monitors their application status.</li>
		<li>Schedules students for testing, in coordination with the Ateneo Bulatao Center for Psychological Services.</li>
		<li>Coordinates with academic departments on application status and decision, and releases decision to applicants.</li>
	</ul>
	</li>
	<li>Reviews letters, memos, and forms pertaining to the admissions function.</li>
	<li>Creates materials to inform prospective students of the admissions process, to be disseminated in the Office social media accounts or website (e.g., process flow).</li>
</ul>

 

III. Relationship Management

<ul>
	<li>Establishes rapport and builds relationship with prospective students, including organizations interested in sending their staff to AdMU for graduate studies.</li>
	<li>Maintains communication with applicants through all stages of the admissions process.</li>
</ul>

IV. Accounts Management

<ul>
	<li>Coordinates with the assigned school in handling prospective students.
	<ul>
		<li>Gathers details of prospective students from the departments and informs them of the admissions process.</li>
		<li>Facilitates exchange of information and documents between applicants and the departments.</li>
		<li>Provides regular updates to the departments on the status of applications.</li>
	</ul>
	</li>
	<li>Keeps abreast of current graduate programs under the assigned school.</li>
	<li>Works with the assigned schools and their departments in organizing activities and creating informational materials designed to increase the visibility of their graduate programs. </li>
</ul>

V. Registration Support

<ul>
	<li>Provides support to the registrations process.</li>
	<li>Assigns student numbers and creates AISIS accounts, in coordination with ITRMO and OMIS.</li>
	<li>Screens and forwards submitted documents of students to the Registrar’s Office.</li>
	<li>Responds to inquiries and directs students to appropriate offices, if necessary.</li>
</ul>

VI. Office Management Support

<ul>
	<li>Assists in the logistical preparations for the different Office activities and special events (e.g. graduation, orientation, etc.)</li>
	<li>Prepares cost estimates relevant to the admissions process and ensures expenses are within budgetary limit.</li>
</ul>

VII. Performs other work-related tasks as may be required by the Immediate Supervisor and authorized representative.

Graduate Admissions Supervisor | Office of the Assistant Vice President for Graduate Education

<ul>
	<li>Understand industry needs when it comes to core competencies of CIIT in digital arts and technology.</li>
	<li>Create and develop training programs for individuals and institutions that ensures they are up to par with the latest skills required to be competitive</li>
	<li>Ensure that the market for these products are big enough while developing and strengthening the brand of the school according to its vision</li>
	<li>Widen the school’s reach to its target segments based on the short courses that are offered</li>
	<li>Manage the marketing and sales pipeline for these products</li>
	<li>Ensure the training programs are taught properly and customer service metrics are properly met.</li>
	<li>Manage reporting and analysis across the various team tasks and responsibilities</li>
	<li>Work with all key stakeholders and supporting functions (internal and external) to deliver high-quality work for creative, PR, social media, events, webinars, orientations, etc.</li>
	<li>Create and manage the budget of the entire team</li>
	<li>Develop partnerships with digital agencies and regularly evaluate &amp; assess their performance propose arising opportunities or to address upcoming challenges</li>
</ul>

Business Development Manager

<ul>
	<li>Responsible for the efficient management and maintenance of a reliable record of College and SHS assets.</li>
	<li>Coordinate the acquisition process for new fixed assets, including purchase orders, receipts, and asset tagging</li>
	<li>Ensure proper documentation and compliance with disposal policies in the disposal of obsolete assets</li>
	<li>Ensure accurate accounting and recording for depreciation on a monthly basis. Calculate and record depreciation expenses based on the applicable depreciation methods and schedules.</li>
	<li>Support, suggest and draft sound policies for the efficient management of the company's fixed assets</li>
	<li>Responsible for monitoring and reporting on the status of the CAPEX budget</li>
	<li>Process all disbursements request for College. Verify all details on the invoice such quantities, prices, and terms vs. purchase order, and delivery receipts. Post invoices and payments into the appropriate GL Accounts</li>
	<li>Responsible for the timely disbursements of funds through bank transfer.</li>
	<li>Audits payroll report submitted by HR, process payroll crediting to employee accounts and record payroll transactions</li>
	<li>Monitors spending/disbursements to ensure adherence to budget allowances</li>
	<li>Ensure that college and high school students are issued with official receipts on time. OR are scanned and printed prior to issuance.</li>
</ul>

Finance Officer

<ul>
	<li>Set up and manage digital ad campaigns on current and emerging platforms (Meta, TikTok, Google Ads, etc.)</li>
	<li>Design graphics, videos, and other content for digital ad campaigns.</li>
	<li>Maximize ad budgets efficiently and analyze campaign performance metrics.</li>
	<li>Conduct A/B testing for continuous campaign improvement.</li>
	<li>Ensure compliance with digital advertising platform policies.</li>
	<li>Establish setup and automation between systems and platforms.</li>
	<li>Create and automate email marketing campaigns using Mailchimp, Zoho, or other relevant platforms.</li>
	<li>Design infographics, illustrations, and visual elements to support content marketing efforts, making information more visually appealing and shareable.</li>
	<li>Collaborate with teams and partners for alignment.</li>
	<li>Stay updated on industry trends and emerging platforms for growth opportunities.</li>

	<li>Create original content that is consistent with the school's branding guidelines for various communications channels such as:

	<li>Contribute to the execution of the Branding and Communications Marketing Plan</li>
