Provides technical assistance off-site and onsite by assisting in site preparation, installation, repairing, and troubleshooting various machines. 

 

Duties &amp; Responsibilities:

Facilities and Utilities Group Head

Summary of Work Activities and Responsibilities:

Under the supervision of the Organization Design and Development Section Head, the HR Officer will assist in designing, developing, implementing, and evaluating organization design and development projects for the University.

Main Duties and Responsibilities

I. University-wide Organization Profiling

<ul>
	<li>Tracks and detects trends in terms of organization elements and realities (e.g., organization layers, mandates, employee count, leadership profile, employee competence, etc.) which shapes the organization design, and makes the necessary recommendations to improve organization capability.</li>
	<li>Regularly provides data that would show a picture of the current organization profiles to help the University prepare for the future, in coordination with the different OPT&amp;OD sections.</li>
</ul>

II. Organization Diagnoses

<ul>
	<li>Assists in conducting organization needs assessment, utilizing the most appropriate data gathering and validation methodologies.</li>
	<li>Drafts an organization assessment plan, after due consultation and understanding of the needs of the client.</li>
	<li>Drafts questionnaires and/or data gathering guide to facilitate the sessions.</li>
	<li>Comes up with an initial analysis based on data gathered from the unit, its stakeholders, and other relevant sources.</li>

The Student Records Assistant IV provides day-to-day clerical support and student services assistance under the operations of the Office of the Registrar.

I. Frontline and Document Processing Support

Student Records Assistant (SHS)

Summary of Work Activities and Responsibilities:

The HR/OD Client Partner Officer III assists the organization operate at its optimum by ensuring that client concerns are properly attended to, queueing process is managed, trends are analyzed, and recommendations to improve current ways of proceeding are coordinated with the different HR offices and pertinent stakeholders. The position shall serve as a liaison between the HR and the assigned client unit.

Main Duties and Responsibilities: 

I. Client Partnership Engagement

	<li>Keeps abreast with trends and changes happening in and outside the University and determines how it affects the HR Cluster, and contributes to the overall employee engagement and experience.

		<li>Keeps abreast of the latest HR/OD practices, labor regulations, and professional requirements that affect academic cluster and University employees. </li>
		<li>Benchmarks against industry and general community methods and practices to measure and recognize the different levels of engagement at an organization level and at a team-level.</li>

	<li>Works towards improving HR/OD systems in support of the academic and the administrative clusters’ realities and plans, and how it translates to the experience of the employees and leaders working in the University.

		<li>Understands and addresses unit and employee needs, providing proactive solutions that meet present and long-term needs, and monitors progress of project plans and deliverables.

Under the supervision of the Training Services Group Head, the Training Associate manages the In-House courses, certifications and diploma programs of the Center; provides direct, close-in support to Resource Persons before and during the actual training conduct.

Main Duties and Responsibilities

I. Training Management Role

		<li>Coordinates with Program Sales and Marketing Group for pre-training requirements for each In-House accounts, courses, certifications and diploma programs, i.e. participants profile, venue, reports, etc. </li>
		<li>Coordinates and assists the Resource Persons and In-House partners on the requirements of the course, certification and program, i.e. Canvas requirements, materials, quizzes/exam, preparations, room and equipment set-up, supplies requests, etc. </li>
		<li>Prepares attendance and program orientation slides, IDs, attendance and evaluation link/QR code, cash advance, etc. needed for In-House accounts, courses, certification and diploma programs. </li>
	</ul>

	<li>During-Training
	<ul>
		<li>Set up registration area, assists in class venue preparations on the logistical requirements of the course. </li>
		<li>Presents the program orientation slides emphasizing the school policies and regulations. </li>

Training Associate | Ateneo Graduate School of Business Center for Continuing Education

Under the supervision of the Investment Director, the Investment Head monitors the current investment portfolios of the University, ensuring its adherence to the investment policies and financial risk management guidelines, and executing short-term investments. The position also serves as the liaison between the University and the external investment partners.

Management of Investment Portfolios

	<li>Maintains data on benchmark performance and fund performance, ensuring that information is available to provide an accurate and up-to-date picture of the University’s investment status.

		<li>Monitors the domestic and foreign portfolio managers’ adherence to portfolio guidelines and investment instructions, observance of asset allocation limits and allowed ranges, and compliance with the benchmarks of portfolios with discretionary mandates, such as Ateneo Consolidated Fund (i.e., ADMU and the other Ateneo schools), ADMU Retirement Fund, ADMU Fiduciary accounts; Ateneo Scholarship Foundation, Inc., and Jesuit Philippine Province portfolios (Isabela Cultural Corp.); and brokerage (directional) mandates, such as Ateneo Consolidated Fund, ADMU Retirement Fund, Ateneo Scholarship Foundation, Inc., and Jesuit Philippine Province.</li>
		<li>Monitors the credit and investment exposures of the portfolios to stay within approved limits.</li>
		<li>Monitors the investment performance of the various portfolios, whether discretionary mandate or brokerage (directional) mandate, vs. portfolio benchmarks.</li>

	<li>Prepares the written instructions, for the signature of the authorized signatories, regarding the implementation of investment strategies.</li>
	<li>Recommends participating in new issues of discretionary asset classes and allocates the amount of participation among the various accounts.</li>
	<li>Prepares and/or reviews the Powerpoint presentation material on investment performance presented to the relevant committees of the Ateneo Consolidated Fund, ADMU Retirement Fund, ADMU Fiduciary accounts, Ateneo Scholarship Foundation, Inc., and Jesuit Philippine Province.</li>
	<li>Prepares financial models regarding the University’s future plans and projects, under the direction of the VP for Finance / Treasurer.</li>

Investment Opportunites

<ul>
	<li>Sources and evaluates investment opportunities, including those referred/proposed to the University by the portfolio managers, and makes the necessary recommendations.</li>
	<li>Prepares recommendations to establish credit or investment limits for new issuers, or increase the credit or investment limits of existing issuers.</li>

Investment Head

The Internal Audit and Financial Risk Management Director provide leadership and direction on the strategic implementation of a program of risk-based internal auditing. It directs the overall operations of the internal audit office.

The position reports functionally to the Chairman of the Audit and Risk Management Committee (ARMC) and administratively (day-to-day operations) to the President. It is responsible for maintaining an internal audit function that provides the ARMC/Board of Trustees (BoT) and management with an ongoing assessment of the University’s risk management and internal control systems and recommending corrective action as needed (in the “provider of assurance” role). It also participates in policy and system initiatives that management may undertake to promote integrity and efficient use of resources where there is no conflict with the assurance role (in the “provider of consulting services” role).

Main Duties and Responsibilities

	<li>Internal Audit Department operations:</li>
</ol>

<ul>
	<li>Ensures the relevance of the Internal Audit function by keeping the Internal Audit Charter updated, orienting stakeholders on its role and value to the University, and obtaining the resources necessary for the achievement of its objectives and programs.</li>
	<li>Provides a systematic and disciplined approach to an effective risk management plan and governance process.</li>
	<li>Develops policies/programs that encourage employees and external partners to report suspected fraud and other improprieties without fear of retribution.</li>
	<li>Liaises with external auditors on activities and plans to ensure appropriate coverage and optimum use of resources.</li>
	<li>Establishes the tracking mechanism for internal audit recommendations and communicates to management and the ARMC whether corrective action has been effectively implemented and any risk(s) arising from delays in taking such corrective action.</li>

Internal Audit and Financial Risk Management Director

Summary of Work Activities and Responsibilities:

Under the supervision of the Organization Design and Development Section Head, the HR Officer will assist in designing, developing, implementing, and evaluating organization design and development projects for the University.

Main Duties and Responsibilities

I. University-wide Organization Profiling

<ul>
	<li>Tracks and detects trends in terms of organization elements and realities (e.g., organization layers, mandates, employee count, leadership profile, employee competence, etc.) which shapes the organization design, and makes the necessary recommendations to improve organization capability.</li>
	<li>Regularly provides data that would show a picture of the current organization profiles to help the University prepare for the future, in coordination with the different OPT&amp;OD sections.</li>
</ul>

II. Organization Diagnoses 

<ul>
	<li>Assists in conducting organization needs assessment, utilizing the most appropriate data gathering and validation methodologies.
	<ul>
		<li>Drafts an organization assessment plan, after due consultation and understanding of the needs of the client.</li>
		<li>Drafts questionnaires and/or data gathering guide to facilitate the sessions.</li>
	</ul>
	</li>
	<li>Comes up with an initial analysis based on data gathered from the unit, its stakeholders, and other relevant sources.

Under the supervision of the Program Sales and Marketing Head, the Marketing Assistant assists in planning and executing marketing initiatives to promote the different programs of the CCE and all its Business Units (e.g., PO, IP, Ateneo BAP Institute of Banking [AB-IB], Le Cordon Bleu Ateneo de Manila [LCBA], Institute for Digital Enterprise [IDE], CU/Academies/Special Projects), liaising with stakeholders, and identifying marketing trends and opportunities for innovation.

 

Main Duties and Responsibilities

I. Marketing Support

Facilitates in-house production of marketing materials

Prepares basic designs of marketing and graphic materials (e.g., brochures, catalogues, calendars, signages, posters, invitations, etc.), and coordinates with relevant CCE units for design conceptualization, timeline, and other relevant matters

Updates materials regularly to ensure accurate and timely release of information 

Drafts presentation materials and other basic graphic design requirements for the Center, for the approval of the Program Sales and Marketing Head

Prepares and disseminates communication materials across all channels/platforms (e.g., social media, digital/bulletin boards, etc.) and updates information regularly or as needed

Coordinates closely with the University Marketing and Communications Office (UMCO) to ensure compliance with University directives, protocols, and branding guidelines related to communication

Keeps abreast of marketing and communication trends, best practices, policies, procedures or new technology and assesses potential opportunities for integration into the Center’s current practices

II. Events Management and Administrative Support

Implements in/egress arrangements for internal and external events (e.g., setting up of venue, manning registration, etc.)

Handles the photo documentation of in-house events and other CCE activities

Maintains database of existing partners and event sponsors 

Assists in processing financial requirements for events

Canvasses and requests for quotations for event supplies and services

Marketing Assistant

Under the supervision of the Employee Capability and Development Assistant Director, the Employee Capability and Development Officer III will assist in the design, implementation, and evaluation of programs from onboarding and socialization, learning and development, performance, promotion, career, and succession.
