Grounds Officer | Central Facilities Management Office

Summary of Work Activities and Responsibilities: 
 
Under the supervision of the Assistant to the Associate Dean for Administrative and Student Services, the Administrative Assistant VI provides secretarial, administrative, and financial support in the day-to-day operations of the Office.

I. Secretarial and Administrative Support

<ul>
	<li>Attends to inquiries and requests from stakeholders and visitors from various communication channels (e.g. face to face, online, phone, office email) and coordinates the flow of information internally and with other offices concerned</li>
	<li>Receives and records Office correspondences and communication materials and carries out appropriate actions</li>
	<li>Handles coordination and logistical support requirements for meetings, events, and activities</li>

Check and receive all sales orders for completeness of data necessary for fast and accurate encoding of orders, picking and delivery to customers.

Encodes data and orders in the system diligently and accurately for database building.

Responsible for seeking approvals for orders and for providing necessary documents promptly for fast processing of deliveries.

Follow up customers on payments and collection of such payments.

Attends to / answers customers’ various inquiries on the status of their orders, accounts and deliveries as well as complaints.

Responsible for monitoring Reports – Sales order monitoring, SI filing, Initial stocks monitoring, complaints monitoring, inventory, etc.

Inter-departmental coordination regarding operational concerns. Coordinates closely with warehouse for delivery schedules, special instructions from customers and others.

Confirmation and verification of returned invoices and reasons for rejections.

Accounts Receivable collections. Follow-up and schedule collection of outstanding ARs.

Follow established policies and procedures especially established timelines, cut-offs and lead times.

Job summary: 

Provides technical assistance off-site and onsite by assisting in site preparation, installation, repairing, and troubleshooting various machines. 

 

Duties &amp; Responsibilities:

	<li>Providing remote and on-site technical support </li>
	<li>Providing client support by guiding and training their equipment operators on machine technicalities and proper operation </li>
	<li>Analyzing the client site where the machine will be situated relative to the requirement of the machine/equipment that will be installed (electricity, building details, etc.) </li>

	<li>Updating the customer from time to time on the mandatory software upgrade and the benefits of a new machine (if any) / spare parts/ consumables features </li>

	<li>Collaborating and coordinating with Account Managers (AMs) in assisting clients with their specific printing requirements and recommending technical troubleshooting as the need arises </li>
	<li>Ensuring that all customer service escalations will be solved within the assigned period </li>
	<li>Sending a summary of the troubleshooting report and a picture of defective parts to our principal for claiming SP and defective consumable </li>
