Job Description
1. Calendar Management:
- Schedule and manage the executive’s calendar, including meetings, appointments, and travel arrangements.
2. Communication Management:
- Handle incoming and outgoing communications on behalf of the executive, including emails, phone calls, and written correspondence.
- Act as a liaison between the executive and other staff or external contacts.
3. Document Management:
- Prepare, edit, and format reports, presentations, and other documents.
- Maintain and organize confidential files and records.
4. Project Management:
- Assist with the coordination and management of specific projects or initiatives as assigned by the executive.
- Monitor project timelines and deliverables.
5. Office Management:
- Oversee general office duties, such as ordering supplies, managing office equipment, and ensuring the office runs smoothly.
- Support other administrative staff when necessary.
6. Event Support:
- Event Logistics: Coordinate logistics such as transportation, setup, and teardown at event venues.
- Staff Coordination: Oversee or assist with the coordination of event staff, including briefings and scheduling.
7. Legal and Compliance Management:
- Permits and Licenses: Assist in securing necessary permits and licenses for ingress and egress of event set ups.
Minimum Qualifications
1. Educational Background:
- Graduate of any 4-year course.
2. Experience:
- At least 1-year experience as an Executive Assistant.
3. Technical Skills:
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint)
- Proficient in Google Workspace
4. Core Competencies:
- Able to multitask, prioritize tasks, and manage time effectively.
- Has strong written and verbal communication skills, with the ability to draft emails, reports, and presentations.
- Has high level of accuracy and attention to detail in all tasks.
- Able to anticipate needs, think critically, and solve problems proactively.
- Trustworthy, and able to handle sensitive information with the utmost discretion.
- Has strong interpersonal skills for interacting with clients, colleagues, and stakeholders.
5. Personal Attributes:
- Able to work independently, take initiative, and anticipate the needs of the executive.
- Able to adapt to changing priorities and work in a fast-paced environment.
- Has a high degree of professionalism, particularly when dealing with high-level executives and external partners.
6. Leadership and Teamwork:
- Able to work collaboratively with teams across the organization.
- Able to lead by example, manage junior administrative staff, or take the lead on projects.
