Summary of Work Activities and Responsibilities:
Under the supervision of the Payroll Supervisor and the Division Head, the Accounting Assistant III position provides section support by preparing certifications of government mandated contribution; safekeeping and filing of payroll documents/materials; preparing monthly absence/tardiness report; summarizing employee’s overtime, preparing of monthly schedule for Credit Union, CEAP, SAP and HMO. The position is also responsible in sending out of employee’s BIR 2316.
Main Duties and Responsibilities:
- Certification for Government Contribution Support
- Receives requests for certification of government contribution
- Checks, reviews, retrieves records or files to validate dates and contribution of the Ateneo employee whether active or inactive
- Prepares certification for checking of Payroll Supervisor and approval of the Central Accounting Office Director
- Summarizes employees’ overtime
- Receives, checks and collates the overtime forms

- Computes total overtime and inputs the applicable overtime rate
- Prepares monthly schedule of Credit Union and prepares CPS
- Reconciles ledger and Prepares schedule of monthly deductions
- Sends the reconciled schedule and Payroll Deduction Remittance to Credit Union and prepares CPS for payment
- Prepares monthly schedule of CEAP, SAP and HMO report for submission to Human Resources
- Reconciles ledger and Prepares schedule for CEAP, SAP and HMO to be submitted to Human Resources
- Sending out of employees BIR 2316
- Convert all of BIR 2316 to pdf files

- Send out the BIR 2316 every January of the year and as requested
- Absence and Tardiness Report
- Receives and checks leave application forms, and compares/validate from the Daily Time Record biometric report from Human Resources

- Prepares attendance and tardiness report for checking of Assistant Director and approval of the Director
- Submits absence report to Human Resources and tardiness report to the Payroll Officer for implementation
- Payroll Support
- Receives all payroll materials/documents from Human Resources and other units.
- Scans, files and saves processed payroll documents to the office's document management system
- Window transaction
- Attends window transactions and payroll-related queries as needed
- Others
- Liaises to other Ateneo Offices to endorse Payroll/Accounting related documents
- Performs other work-related task that may be assigned by immediate supervisor
