Job Description
Position Overview:
We are looking for a reliable and detail-oriented Office Staff member to join our team. This role will primarily involve processing sales orders, invoicing, and providing support to both sales staff and other company departments. The ideal candidate will be a strong communicator, highly organized, and able to manage multiple tasks efficiently in a fast-paced environment.
Key Responsibilities include:
- Sales Order Processing: Accurately enter and process sales orders into the company’s system, ensuring all relevant details are correct and complete.
- Invoicing: Generate and send invoices to customers, following up on any discrepancies or issues to ensure timely payment.
- Customer Communication: Respond to customer inquiries regarding orders, invoices, and payments, providing prompt and courteous service.
- Sales Support: Act as a liaison between the sales team and other departments, providing administrative support, coordinating order details, and facilitating communication.
- Data Entry & Record Keeping: Maintain accurate records of sales orders, customer accounts, and invoices within the company’s database.
- Cross-Department Coordination: Collaborate with operations, finance, and logistics teams to ensure smooth order fulfillment and resolve any issues that may arise during the process.
- Follow-up on Orders: Monitor the status of sales orders and proactively communicate any delays or issues to sales staff and customers.
- Documentation Management: Organize and file all necessary documentation related to sales orders, payments, and customer accounts.
- Issue Resolution: Address and resolve discrepancies related to orders, payments, or invoicing by coordinating with internal departments and customers.
- General Office Duties: Assist with additional administrative tasks as needed, such as answering phones, filing, and supporting other office staff in day-to-day operations.
Minimum Qualifications
Qualifications:
- Education: Bachelor’s degree in any field, business administration or accounting is a plus.
- Experience: 1-2 years of experience in an office environment, preferably in sales order processing or administrative roles.
- Computer Skills: Proficient in Microsoft Office (Excel, Word, Outlook), and experience with ERP systems or order management software (SAP preferred).
- Organizational Skills: Strong organizational abilities with attention to detail and accuracy in data entry and record keeping.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with sales staff, customers, and internal departments.
- Problem-Solving: Ability to troubleshoot and resolve order or invoicing discrepancies quickly and efficiently.
- Multitasking Ability: Comfortable handling multiple tasks and shifting priorities in a busy office environment.
- Customer service experience is a plus.
