Job Description

Administrative Support:

  • Provide direct support to the HR Department Head in managing daily operations, tasks, and priorities.
  • Coordinate and schedule meetings, prepare agendas, and take minutes for the Department Head’s engagements.

Documentation and Reports:

  • Draft, review, and finalize communications, reports, and presentations required by the Department Head.
  • Consolidate data and prepare periodic HR performance reports and updates for management review.

Liaison and Coordination:

  • Act as a central point of contact between the HR Department Head and division/section heads, ensuring smooth communication and follow-ups.
  • Coordinate with external agencies, stakeholders, and other departments for matters requiring the Department Head’s attention.

Policy and Procedure Assistance:

  • Assist in reviewing and updating HR policies, ensuring alignment with legal requirements and organizational goals.
  • Provide input and recommendations on streamlining administrative processes and improving HR operations.

Task and Workflow Management:

  • Track and monitor the implementation of directives and projects assigned by the Department Head.
  • Ensure timely submission of required deliverables and follow-up on pending matters.

Confidentiality and Record-Keeping:

  • Handle confidential and sensitive information with utmost discretion.
  • Maintain and organize the Department Head’s files, ensuring accessibility and security.

Employee Relations Support:

  • Support the Department Head in addressing employee concerns and inquiries as needed.
  • Assist in the coordination of programs or activities spearheaded by the HR Department Head.

Minimum Qualifications

  • Training
    • 8 hours of relevant training
  • Experience
    • 2 years of relevant experience
  • Eligibility
    • Career Service (Professional)
    • Second Level Eligibility
