Clerical Support:
Provide general clerical and administrative assistance to the Administrative Support Section, including managing files, sorting documents, and performing data entry.
Assist in the preparation of reports, correspondence, and forms, ensuring proper formatting and accuracy.
Document Management:
Organize, maintain, and update both physical and digital files, ensuring proper filing, retrieval, and storage of all documents related to administrative support functions.
Assist in the archiving of completed or outdated documents and ensuring compliance with records management policies.
Data Entry and Record Keeping:
Input data into organizational systems accurately and promptly, ensuring that records are up to date.
Maintain and update records related to administrative functions such as office supplies, equipment inventories, and employee files.
Communication and Coordination:
Handle communication within the section, including answering phone calls, responding to inquiries, and forwarding messages or requests to the appropriate personnel.
Coordinate with other sections and departments to ensure smooth operation of administrative tasks and functions.
Support for Office Supplies and Equipment:
Assist in the management of office supplies, including monitoring stock levels and assisting in inventory management.
Support in the preparation of requisitions for office supplies and equipment when necessary.
General Office Assistance:
Perform general office duties such as photocopying, scanning, and distributing materials to staff or other departments.
Assist with logistical arrangements for meetings, workshops, and other activities as needed by the Administrative Support Section.
Other Administrative Tasks:
Perform additional clerical duties as assigned by the immediate supervisor to ensure the efficient operation of the Administrative Support Section.
