Objective Overview:
The Marketing Administrator will be an integral part of a dynamic marketing and communications team, focusing on enhancing internal communications and providing essential administrative support. By managing schedules, coordinating meetings, and handling various logistical tasks, the Marketing Administrator ensures the team operates seamlessly. This support is vital for maintaining the momentum of marketing campaigns and ensuring all projects are completed on time and to the highest standard.
Summary of Responsibilities:
1. Fresh Desk Utilization:
- Manage and monitor ticket ingestion.
- Ensure efficient handling and quick response times.
2. On-Boarding, Off-Boarding, and Branch Transitions:
- Assist with on-boarding new employees and manage off-boarding processes.
- Oversee smooth operational shifts during branch transitions.
3. Technical Support:
- Provide email support for technical issues.
- Assist with tech tool account setup and troubleshooting.
4. Utilization Metrics and Reporting:
- Track and report tech tool usage.
- Implement strategies to increase tool utilization and identify areas for improvement.
5. eSignature Customization:
- Customize eSignature integrations between Outlook and Salesforce.
- Ensure seamless functionality across platforms.
6. Information Management:
- Manage and update loan officer information.
- Ensure record accuracy and handle information change requests efficiently.
7. Compliance:
- Oversee compliance approvals for shared content and designs.
- Ensure adherence to company and regulatory standards, maintaining records of approvals and revisions.
8. Database Management:
- Maintain and update marketing databases.
- Perform data clean-up to ensure database integrity.
9. Offer and Disclosure Management:
- Keep marketing offers and compliance disclosures up-to-date.
- Verify information accuracy and communicate updates.
10. Ticket Optimization:
- Develop canned responses for common queries.
- Optimize ticket resolution within Fresh Desk.
11. Quick Reference Guides:
- Create video guides and explanations for CRM tasks.
- Provide instructions for marketing library and automation systems.
12. Template Development:
- Develop templates for marketing requests and standard responses.
- Ensure accessibility and ease of use for the marketing team.
Minimum Qualifications
Key Requirements:
- Bachelor’s degree in Marketing, Business Administration, or a related field is preferred.
- Detail-oriented with excellent organizational and multitasking abilities.
- Excellent interpersonal skills for coordinating with team members and other departments.
- Experience handling and working with reports and analytics such as email marketing analytics, etc.
- Strong analytical skills with experience in CRM and performance metrics.
- Understanding of the US mortgage industry is preferred.
- Excellent communication and organizational skills.
Performance Objectives:
First 2 Weeks:
- Familiarize yourself with the Fresh Desk system and start handling tickets under supervision. Shadow the Marketing Coordinator to understand on-boarding/off-boarding processes and learn about email account setups and tech support.
- Learn the format and requirements for the marketing database while starting to familiarize yourself with its current structure.
First Month:
- Implement gamification techniques to boost tech tool utilization, while also tracking metrics for effectiveness.
- Master eSignature integration across Outlook, Salesforce, and marketing automation tools, alongside managing updates to loan officer information and maintaining compliance disclosure spreadsheets.
First 90 Days
- Gain understanding of content and design compliance approval process, participate with guidance, and assist in creating QRG and explanation videos.
- Collaborate on drafting and refining canned responses for marketing ticket queue optimization, and take full responsibility for handling tickets through Fresh Desk for timely processing.
First 180 Days
- Independently handle complex eSignature customizations, refine metrics reporting, and implement gamification strategies to boost tool utilization.
- Manage loan officer information changes, ensuring accuracy and compliance, while also taking an active role in content and design compliance approval processes.
First Year
- Independently provide comprehensive support for tech tools, resolving issues efficiently and enhancing utilization metrics.
- Lead Compliance and Database Management efforts, ensuring full compliance, maintaining documentation, and optimizing ticket queue processes for efficiency.
