Clear is looking for a Client Data Manager to virtually work with our client, an independent, privately-owned business in Western Australia. Our client develops customised energy management solutions for private, public organisations, and non-profit institutions. As independent consultants, they provide their clients with cost-effective and technically sound energy advice and solutions.

Role and Opportunity

The Client Data Manager will “Work-from-Home” to remotely provide administrative support to the onsite teams. The role requires efficient and sensitive data management and preparation.

Purpose

As a remote Client Data Manager, you will:

  • Manage a workflow process as outlined overleaf
  • Work directly with onsite teams and ensure accurate details are entered into the system
  • The workflow process is managed and followed through to cycle completion
  • Check the completeness and clarity of information of the received data
  • Transcribe data received into MS Excel and into the company’s database
  • Compile electricity meter readings into MS Excel
  • Convert MS Excel invoices into PDF
  • Xero login and invoice preparation
  • Prepare the invoice by copying previous versions to send to clients

As a Client Data Manager, your daily tasks may include:

  • Ongoing diary management
    • Maintain calendar utility meter reading cycle
  • Handle Type "A Clients"
    • Start a job cycle
      • Data processing items required:
        1. Source meter data for period/from file

        2. Open the master sheet excel sheet from the previous month/from the file

        3. Convert the updated master sheet data for the period into PDF

        4. Save the Excel version of #3 with ‘no formulas’

    • Finalize the cycle
      • XERO Login for Invoice Preparation
        1. Login to Xero

        2. Find site or client details

        3. Copy the previous month’s invoice

        4. Copy to update the current month

        5. Approve the updated invoice

        6. Convert the invoice into a PDF

        7. Use the client details to send an email – add along the two attachments with data from below

      • Email sending along with the Xero Invoice
        1. Convert into PDF the updated master sheet data for the period

        2. Save the Excel version of #3 with ‘no formulas’

        3. Save the PDF Xero Invoice outlined above.

  • Handle Type "B Clients"
    • Ongoing diary management – as above
    • Start a job cycle - as above
    • Finalize the cycle
      • Login to client portal

      • Upload the required information to the client portal

      • Wait three days prior to uploading the XERO invoice to the same client portal

Kualifikasi Minimum

  • Bachelor’s Degree or equivalent diploma, must be finance-related
  • At least 2 years of relevant work experience
  • Advanced knowledge of MS Office applications, highly skilled in MS Excel
  • Intermediate knowledge of PDF
  • Subscribed with a minimum 50mbps internet speed in a postpaid plan
  • Fit to work status upon completion of the pre-employment medical exam with drug test and a valid NBI Clearance

  • Proactive mindset with disciplined time management
  • Excellent verbal and written communication skills, including email management
  • Technologically adept and highly trainable in new skills and software
  • Excellent attention to detail with the ability to multitask and manage competing deadlines
  • Flexibility to perform other relevant tasks as required by the client
  • Strong organizational skills

Advantageous (Optional)

  • Experience in handling Australian accounts
  • Has a clear neutral accent
