Job Description
The HR and Admin Manager is responsible for effectively managing the various functional activities of the Human Resources Department covering the areas of Recruitment, Employee Relations, Compensation and Benefits, Payroll and HR Information Systems, Training and Development and Performance Management.
The HR and Admin Manager is also responsible for overseeing the Administration services and managing the Front Desk Assistant and HR and Admin Assistant, who supervises the Office Custodian and Messengers.
Duties and Responsibilities:
1. Recruitment and Selection
1.1 Advertises job vacancies in online job sites and evaluates online job applications
1.2 Interviews applicants, reviews assessment results and prepares a summary and recommendation to the Department Hiring Manager
1.3 Conducts the job offer to the successful candidate and facilitates signing of employment contract upon acceptance of the job offer
2. Onboarding
2.1 Ensures completeness of pre-employment requirements including compliance with pre-employment medical examination
2.2 Conducts New Employee Orientation and makes sure that the new employee is introduced to other employees through an email announcement and face-to-face introductions during office tour
3. Employee Relations
3.1 Organizes annual company events, introduces and/or sustains employee engagement activities that promote camaraderie as well as the company culture and values
3.2 Drafts HR Policies, presents to Management for approval and cascades to employees prior to implementation
3.3 Monitors employees’ compliance with the company’s Code of Conduct and implements disciplinary actions as deemed necessary
4. Compensation and Benefits
4.1 Reviews salary structures and proposes enhancements as needed
4.2 Ensures administration of company-provided benefits and proposes new benefits as the need arises
4.3 Oversees the HR and Admin Assistant in complying with statutory benefits
5. Payroll
5.1 Supervises the HR and Admin Assistant in ensuring accurate time records
5.2 Runs the Payroll using the company’s payroll system and does spot checks to ensure accuracy and eliminate any system error
5.3 Attends to any Payroll disputes after disbursement
6. Training & Development
6.1 Discusses training needs with Directors and sources external training providers based on the requirements
6.2 Evaluates training programs by sending an evaluation form to participants
6.3 Implements training agreement for programs that involve high trainingfees and makes sure that it is explained properly to the concerned employee/s
7. Performance Management
7.1 Monitors Department Heads in ensuring that all their team members have and are aware of their Key Performance Indicators (KPIs)
7.2 Sits in all monthly Departmental KPI reviews to be able to address any HR-related issues or concerns
7.3 Supports Department Heads in implementing Performance Improvement Plans (PIP) as needed
8. HR Administration
8.1 Prepares and signs Certificate of Employment, Certificate of Government Contributions, etc.
8.2 Ensures completeness and confidentiality of 201 files
8.3 Performs other duties that may be assigned from time to time
Kualifikasi Minimum
Job Specifications:
- Graduate of Psychology, Human Resource Management or any related course
- Graduate studies, specifically in Human Resources or Organizational Development, preferred but not required
- At least 8 years of relevant work experience
- Must be knowledgeable in most facets of HR such as, but not limited to, Recruitment, Compensation & Benefits, Payroll, Training & Development and Employee Relations
- Must have Business Acumen necessary to be an effective HR Business Partner
- Must be people-oriented necessary to balance business strategies with the interests of the employees
