Job Description

Summary of Work Activities and Responsibilities:

Reporting directly to the Curriculum Maintenance Supervisor, the Curriculum Support Assistant supports the efficient implementation of undergraduate programs through the accurate uploading of curricula and course details to the student information systems. The Curriculum Support Assistant also performs secretarial and frontline functions for the Office of Curriculum Development and Integration.

I. Essential Duties and Responsibilities

A. Curriculum Development and Monitoring

1. Curriculum Development Meeting Preparations

  • Assists in preparing the materials for Curriculum Committee meetings
  • Handles logistical requirements for meetings, including Curriculum Committee meetings

2. Curriculum Compliance

  • Assists in searching for, and maintaining files of relevant CHED Memorandum Orders applicable to undergraduate programs

3. Curriculum Development Endorsement and Approval Process

  • Assists in reviewing details on course offerings in the documents on new/revised degree programs for submission on the Commission on Higher Education (CHED)

B. Curriculum Maintenance

1. Curriculum Cataloging and Indexing

  • Updates the following on the student information system
    • prerequisites of core and major courses, electives, and interdisciplinary electives
    • list of Major Electives (ME), Restricted Major Electives (RM), and Interdisciplinary Electives (IE)

2. Course Offering and Loading Information

  • Assists the Curriculum Maintenance Supervisor in preparing the following:
    • list of maximum loads per semester per undergraduate degree program
    • list of courses per undergraduate degree program scheduled for the Intersession

II. Records Management

A. Curriculum Committee Files

  • Maintains and updates Curriculum Commitee Microsite

B. Course Proposal and Approval Files

  • Receives files of approved courses and interdisciplinary electives from the Asst. to the Director and maintains files per offering
  • Regularly updates the following master lists
    • courses per department/program
    • interdisciplinary electives

III. Reports and Publications

A. Undegraduate Bulletin of Information

  • Prepares curricula and courses to be included in the Undergraduate Bulletin of Information

B. Accreditation Reports

  • Reviews and proofreads curriculum documents and assessment reports as may be assigned by the Director

IV. Office Management

A. Fiscal Duties and Responsibilities

1. Budget Monitoring

  • Processes and coordinates financial requests, evaluating them vis-a-vis the budget allocation
  • Monitors the budget and handles bookkeeping, keeping financial records and expense account of the Office
  • Assists in monitoring the expenses and budget of the Office

B. Frontline and Secretarial Functions

  • Serves as receptionist of the office - attends to visitors, calls, and messages to and from the Office and directs them to the appropriate office or employee
  • Handles logistical requirements for in-house or off-site office activities

C. Facilities, Supplies, and Equipment Management

  • Assists in overseeing the physical upkeep of the office, ensuring that files, supplies, fixtures, and equipment are properly stored and in good condition

V. Other Tasks

A. Graduation Duties

  • Serves as an usher during the graduation ceremonies
  • Assists ini the graduation rehearsals

B. Performs other functions as may be assigned by the Director

Minimum Qualifications

Knowledge, Skills and Abilities:

  • Proficient in Microsoft Office applications
  • Proficient in Google Workspace apps (e.g., Gdoc, Gsheet, Gform, etc.) and other collaboration tools
  • Demonstrates good oral and written communication skills in both English and Filipino
  • Demonstrates attention to details
  • Demonstrates organizational skills
  • Copes well with tight deadlines
  • Collaborates well with others to accomplish tasks
  • Demonstrates initiative and can work with minimum supervision

Education and Experience Requirements:

  • Bachelor’s degree, preferably in Education
  • At least 1-year work experience, preferably in an educational setting
  • Previous work experience in the ADMU or familiarity with the ADMU educational system is an advantage
