Job Description
Human Resources:
- Coordinate onboarding and orientation for new employees, ensuring a smooth integration into the company.
- Maintain employee records and update HR databases with new hire information, attendance, and other relevant data.
- Process payroll, benefits administration, and handle employee inquiries regarding HR policies and procedures.
- Support employee engagement initiatives, including organizing team-building activities and managing employee feedback.
Legal:
- Contracts Management
- Assist in proofreading and performing administrative tasks related to contract drafting and contract review (e.g., transcribing, proper labeling, etc)
- Assist in maintaining an orderly database and tracker for legal documentation across all two entities (physical and electronic)
- Legal Research
- Assist in researching, interpreting, and synthesizing relevant laws, rules, or jurisprudence applicable to the Legal unit’s tasks and goals
- Assist in researching for best practices and model clauses
- Compliance Liaison
- Assist in the completion of government applications and transactions (SEC, BIR, DENR, LGU)
- Assist in following up with the relevant government agency/ies and the sending of inquiries for current tasks and goals
- Assist in the preparation of the requirements for the companies’ accreditations (BCorp, PCNC, CTE and Donee’s Certificate) and renewals of accreditations
- Vendor Accreditation
- Ensures that two (2) entities are compliant in all Vendor Accreditations.
- Maintain detailed and up-to-date records of vendor certifications, contracts, and compliance documentation.
- Perform comprehensive due diligence on new and existing vendors as part of the accreditation process.
- Other legal administrative tasks as needed and requested
Office Management:
- Manage office supplies inventory and place orders as necessary.
- Handle general administrative tasks such as responding to emails, and managing correspondence.
- Receive incoming documents from external parties and coordinate with the appropriate Department/officers for action
- Coordinate with the appropriate Departments for outgoing documents
Minimum Qualifications
- 1 year of experience in administrative work.
- Strong understanding of HR practices and Philippine labor laws.
- Familiarity with legal terminology and processes.
- Knowledge in composing and drafting basic contracts and legal agreements
- Able to do research on legal topics
- Strong written communication skills
- Knowledge of government application processes; willingness to learn
- Problem-solving skills; innovative approach to coming up with solutions
- Willingness to coordinate with government agencies off-site
