They are launching a new brand of delicious snacks in the U.S. market during Q2 2025. The brand details are confidential until the official launch.

Role Overview
The Executive Assistant will initially serve in an administrative capacity with opportunities for growth for the right candidate. This role will report to the CCO and support the leadership team. We are looking for a proactive, self-starting, and personable individual who can balance day-to-day administrative tasks with managing business operations and back-office functions. The ideal candidate will maintain professionalism, discretion, and a calm demeanor while working with high-caliber clientele and operations. This individual will thrive by thinking ahead, coordinating across teams, and aligning with the needs of the business and its leadership.

  • Supporting the team and business operations effectively to ensure smooth daily activities.

Responsibilities:

Administrative Support

  • Perform daily office management tasks, including meeting preparations, file organization, and presentation updates.
  • Build and manage trackers to ensure deadlines are met.
  • Assist with special projects, research, and compiling information as needed, presenting it in a clear and digestible manner.

Communication & Scheduling

  • Manage calendars, schedule meetings, travel arrangements, and event logistics.
  • Draft and edit emails and other written correspondence.
  • Ensure timely distribution of meeting notes, memos, and action items to all relevant parties.

Relationship & Data Management

  • Maintain relationship databases and CRM, ensuring NDA signatures and other necessary documentation are completed.
  • Anticipate leadership’s needs, staying ten steps ahead to ensure smooth and efficient operations.

Cross-Departmental Coordination

  • Coordinate high-priority tasks interdepartmentally as needed.
  • Support with back-office functions, ensuring organization-wide efficiency.

Team Support

  • Adapt to various leadership styles and support a wide range of personalities.
  • Ensure effective communication of any changes to schedules or priorities.

Reporting Structure

  • Manager: Chief Commercial Officer (CCO)
  • Also Supports: SVP of Supply Chain and Innovation
  • Collaborates With: Sister company Analysts and Executive Assistants

Minimum Qualifications

  • 1-2+ years of experience as an Executive Assistant or in a similar role supporting C-level executives.
  • Ability to work independently with minimal supervision, anticipating the needs of the team.
  • Strong attention to detail and organizational skills.
  • Comfortable working under pressure, meeting tight deadlines, and managing multiple competing priorities.
  • Tech-savvy, with a willingness to learn and navigate various organizational platforms.
  • Strong written and verbal communication skills in English.
  • Proven ability to thrive in a fast-paced, dynamic environment.
  • Strong interpersonal skills with the ability to maintain confidentiality.
  • Proficiency in Microsoft Office and Google Suite.
  • Must be available to work U.S. Eastern (NY) office hours.
