Job Description
Job Title: Virtual Executive Assistant to CEO
Location: Remote, but working US work hours (PH night shift)
Compensation: $1000 - 1200 USD (monthly), benefits available after 60-days
Why this role exists
We are a Venture Builder (Mahway) that incubates and launches technology startups across various verticals. Our CEOs rely on a team of amazing, dedicated virtual executive assistants based in the Philippines to support them in a variety of administrative and organizational tasks, from travel planning to email inbox management and more.
Outcomes
- These are just some of the outcomes + tasks you may work on in this role:
- Scheduling between multiple stakeholders across multiple timezones
- Booking and managing complex travel
- Adding trips to the calendar
- Checking into the flights or other transport beforehand and monitoring travel in case something is delayed to communicate with your CEO
- Manage and handle recurring tasks
- Research and curation of knowledge using Notion
- Organizing digital ‘paperwork’ using Notion, G-Drive, or another CRM
Minimum Qualifications
Required
- At least 2+ years of experience supporting executives
- You will need the flexibility to overlap fully with Greenwich Mean Time (GMT-8)
- Strong internet connection and dedicated workspace
- Excellent written English
- Experience working across multiple timezones, juggling several calendars, as well as planning and booking international travel
Skills
- You are technically savvy and digitally native
- You are an expert using modern collaboration tools (Notion, Google Workspace, Docsend)
- You can manage a team on Upwork, or elsewhere, to fill gaps in the organization (examples would be: design, digital marketing, technical writing, etc)
- You are familiar with AI and using automation procedures in the workplace
- You have created filing systems and task management systems in the past
- You are a strong researcher
