Job Description
We are seeking a highly motivated and detail-oriented Payroll Specialist to join our dynamic Accounting/Finance team. In this role, you will be responsible for ensuring the accurate and timely processing of the company's payroll, maintaining payroll records, and providing exceptional support to employees regarding payroll inquiries. Duties & Responsibilities:
Payroll Processing:
- Collect and verify timesheet data from various sources, including biometric systems.
- Accurately input payroll data into the IBSS payroll system.
- Process payroll for all employee types (regular, daily, contractual) ensuring compliance with company policies and relevant regulations.
- Calculate and process overtime payments, ensuring proper authorization and accurate calculations.
- Generate and distribute electronic pay slips to employees each pay period.
Payroll Administration:
- Track and manage employee attendance, including absences and tardiness, in coordination with HR and department heads.
- Administer employee benefits deductions, loan repayments, and other payroll-related adjustments.
- Prepare and submit monthly payroll summaries and reports to the Accounting Manager.
- Reconcile payroll data with the general ledger, ensuring accuracy and completeness.
- Maintain accurate and up-to-date payroll records, both electronically and physically.
Compliance and Reporting:
- Ensure compliance with all applicable tax laws and regulations, including withholding taxes, social security contributions (SSS), PhilHealth, and Pag-IBIG.
- Prepare and submit all required payroll tax reports and remittances accurately and on time.
- Generate annual tax certificates (BIR Form 2316) for each employee.
- Compute and process 13th-month pay and other statutory benefits.
Employee Support:
- Respond to employee inquiries regarding payroll matters promptly and professionally.
- Assist employees with payroll-related concerns, such as updating bank account information and processing loan applications.
- Maintain confidentiality of all employee payroll information.
System Management:
- Assist in the maintenance and troubleshooting of the IBSS payroll system.
- Identify and recommend improvements to payroll processes and procedures.
Minimum Qualifications
Educational Requirement:
Bachelor's degree in Business Administration, Accounting, Human Resource Management, Psychology or any related field
Work Experience:
Minimum of 2 years of experience as a Payroll Staff or in a similar role with proven experience in processing payroll for a sizeable workforce.
Hands-on experience with payroll software systems

- Strong understanding of Philippine payroll regulations, tax laws, and statutory benefits.
- Proficient in accounting principles and practices related to payroll.
- Excellent knowledge of Microsoft Excel and other relevant software applications.
