Job Description
1. Timekeeping and Monitoring of Attendance
- Ensures correct timekeeping entries of employees.
- Ensures that queries and complaints about attendance related matters are immediately addressed.
- Monitors attendance of employees and provides data for all department heads to ensure that notices on attendance are timely issued to habitual latecomers.
- Monitors and prepares monthly attendance.
2. Compensation, Statutory and Company-initiated Benefits Administration
- Ensures that government reportorial requirements such as SSS, Philhealth, Pagibig remittances and reports are complied with.
- Processes applications for SSS and Pag-ibig loans and other company loans.
- Processes SSS/Phil Health sickness, maternity claim benefits, funeral benefits.
- Monitors Accidental Insurance (application and renewal)
- Prepares monthly birthday greetings/posts
- Provides assistance on HMO-related services to employees: renewal, enrolment, deletion of members, annual physical exam; prepares and update reports on utilization; processes payments to HMO provider.
- Monitors wage increase as mandated by the government and/or company.
3. Payroll Processing:
- Calculate and process payroll accurately and timely, including regular wages, overtime, bonuses, and deductions.
- Ensure compliance with company policies and government regulations regarding payroll.
- Handle payroll-related inquiries and resolve any issues or discrepancies.
- Ability to compute payroll manually in cases where HRIS is unavailable or in special circumstances.
- Ensure accuracy and compliance even in manual processes.
- Prepare and file necessary tax reports and documents.
- Ensure compliance with all tax regulations and update payroll processes as needed to reflect changes in tax laws.
4. Employee Records, Database and Information Administration
- Facilitates PAF / memo on employee movement and promotions
- Provides assistance in the maintenance and updating of employee records / master list (newly hired, existing and outgoing employees)
- Process regularization documents of employees and individual notices
- Ensures employee movement are updated in the system (201 file records; processes and issues HR Notices (hiring, transfer, separation)
- Oversees the processing of employee separation documents (clearance) and issuance of Certificate of Employment (COE)
- Monitoring of HRD forms
5. Employee Relations Management
- Act as the primary point of contact for employee queries, grievances, and conflict resolution, ensuring timely and fair resolution.
- Provide guidance and support to managers and employees on employee relations issues and policies.
- Conduct thorough investigations into workplace complaints, document findings, and recommend appropriate actions.
- Promote a culture of trust and transparency by building strong, positive relationships with employees at all levels.
6. Policy and Compliance
- Ensure adherence to labor laws, company policies, and procedures to mitigate legal risks.
- Review and update company policies to align with current legislation and best practices.
- Support HR audits and ensure all documentation related to employee relations is accurate and up-to-date.
7. Others
- Assists the HR Manager in the conduct of special projects/studies and coordinates activities in the implementation of said projects.
- Prepares draft letters per instruction of the department head.
- Performs Ad Hoc duties that may be assigned from time to time
Minimum Qualifications
- Educational Requirements
- Graduate of four (4) year course, preferably Psychology or Human Resource Management Course
- Experience Requriements
- Minimum of three (3) years’ experience in a similar or related role is an advantage.
