The Admin & Facilities Manager is responsible for overseeing and strategically managing the administrative activities and facilities operations of the company, with a particular emphasis on office fit-out projects. This role involves leading the Business Admin team, managing facilities and assets, and supporting business processes across multiple locations, including Manila, Cebu, Davao, and Iloilo. The successful candidate will have experience in office fit-out projects to facilitate the construction of new offices in Davao and Iloilo, as well as upgrading existing offices in Manila and Cebu
- Lead and manage the overall business administration function, including facilities management, maintenance, procurement, supplies, and asset management, with a strong focus on office fit-out projects across all locations.
- Develop and coach the Business Admin team, providing guidance and support to ensure their professional growth and performance.
- Oversee the administration of facilities, housekeeping, and asset management in each location, with specific attention to office fit-out projects.
- Coordinate and manage the construction and fit-out of new offices in Davao and Iloilo, ensuring timely completion within budget and meeting required specifications.
- Plan and execute office upgrades in existing and future sites in Manila and Cebu, coordinating with contractors, suppliers, and internal stakeholders to ensure seamless execution.
- Coordinate the procurement of IT peripherals and manage inventory, considering the specific requirements of each location and the office fit-out projects.
- Organize office operations and procedures, approve supply requisitions, and monitor administrative functions in each location, aligning them with the ongoing fit-out projects.
- Ensure regular procurement of housekeeping and kitchen consumables to maintain well-equipped and organized office environments in all locations, considering the needs arising from the fit-out projects.
- Take responsibility for preventive maintenance and ensure contracts for facility and housekeeping services are reviewed and renewed in a timely manner, considering the evolving requirements of the upgraded and newly constructed offices.
- Create safe, orderly, and productive atmospheres in the offices, ensuring compliance with safety and regulatory requirements across all locations, particularly during the fit-out projects.
- Address and resolve facilities and safety-related inquiries, complaints, and requests from stakeholders in each location, providing recommendations and taking appropriate actions, with a focus on the fit-out projects.
- Manage all administrative documents, including permits, contracts, certificates, and visas, for the operations in Manila, Cebu, Davao, and Iloilo, ensuring they align with the office fit-out projects.
- Prepare reportorial requirements for submission to regulatory bodies for all locations, incorporating the relevant information from the fit-out projects.
- Bachelor's degree in Business Administration or any related field.
- Minimum of 3 years of relevant experience, with a focus on office fit-out projects.
- Strong organizational skills to provide effective direction to the Business Admin team across multiple locations, with an emphasis on facilities management and office construction.
- Thorough understanding of office management processes, including office fit-out projects.
- Experience in assets and facilities management principles, with an emphasis on office construction and upgrades.
- Critical thinking and problem-solving skills, with the ability to handle challenges and complexities associated with office fit-out projects.
- Ability to work well in a team-oriented environment, collaborating with contractors, suppliers, and internal stakeholders to achieve project objectives.
- Excellent time-management skills, with the ability to prioritize tasks and meet project deadlines.
- Strong interpersonal and communication skills, particularly in coordinating and managing external parties involved in office fit-out projects.
